A consulting invoice needs nine things: your business details, the client's legal entity and billing contact, a unique invoice number, the invoice date, the due date and payment terms, the engagement and billing period it covers (with the contract, statement of work or purchase order it rests on), the line items, the total due, and how to pay. If a finance team can find all nine without emailing you, the invoice gets paid on its first pass. Below is a free consulting invoice template from The Pivot Lab (pivotlab.shop) that you can copy into Word, Google Docs or your accounting tool, with filled-in line items for retainer, fixed-fee and hourly work.
No email address needed. This page is general information, not tax or legal advice; check sales tax, late-fee and invoicing rules for your location with an accountant.
What should a consulting invoice include?
| Part | What to put | Why it matters |
|---|---|---|
| 1. Your business details | Legal business name, address, email, tax ID if the client asks for it | Must match the name on your contract and tax form |
| 2. Client legal entity | The company name on the contract or purchase order, plus the billing contact | Accounts payable rejects invoices made out to a person or a brand name |
| 3. Invoice number | Unique and sequential, for example 2026-014 | Both sides track payments by it; never reuse one |
| 4. Invoice date | The date you issue it | Payment terms count from this date |
| 5. Due date and terms | "Net 15, due November 8, 2026" | A date removes any argument about what "Net 15" means |
| 6. Engagement reference | Engagement name, billing period, SOW date, PO number | Lets the approver match the bill to work they already agreed |
| 7. Line items | Retainer, milestone, hours or expenses, each with an amount | Makes the amount recognizable and easy to approve |
| 8. Total due | Subtotal, any tax, credits or deposits already paid, balance due | The one number finance enters |
| 9. Payment instructions | Bank transfer details or payment link, and the reference to quote | The most common reason an approved invoice still sits unpaid |

Filled-in line items for the three ways consultants bill
The line items should match how the client agreed to pay. These examples are illustrative; the amounts are not pricing advice.
Monthly retainer (billed in advance)
| Description | Qty | Rate | Amount |
|---|---|---|---|
| Fractional finance leadership retainer, November 2026, per SOW dated September 30, 2026 | 1 | $7,500 | $7,500 |
Send it on the same day each month, before the month starts. A retainer bills for access and outcomes over a period, so it does not need a list of meetings. If the client starts treating the retainer as unlimited, fix the scope in the SOW rather than adding detail to the invoice. See the retainer pricing calculator to check whether the monthly fee pays enough for the hours.
Fixed-fee project (billed by milestone)
| Description | Qty | Rate | Amount |
|---|---|---|---|
| Operating model review, milestone 2 of 3: current-state assessment delivered October 20, 2026 (40% of $30,000 fixed fee) | 1 | $12,000 | $12,000 |
Name the milestone and the date it was delivered, and show the share of the total fee, so the approver can check it against the payment schedule in the statement of work. A common pattern is a deposit at signing, a payment at a midpoint and a final payment on acceptance; the right split depends on project length and how the client pays vendors.
Hourly or day-rate work
| Description | Qty | Rate | Amount |
|---|---|---|---|
| Interim HR advisory, October 1 to 31, 2026 (timesheet attached) | 22 hours | $250 | $5,500 |
| Approved travel, client site visit October 14, 2026 (receipts attached) | 1 | $412 | $412 |
Put the date range, hours and rate on the invoice and the detail in an attached timesheet. Bill expenses only if the agreement allows them, and attach the receipts.
What payment terms should a consultant use?
Decide the terms before you sign, write them into the agreement, and repeat them on every invoice. A few patterns are common:
- Net 15: a workable default for small and founder-led clients.
- Net 30: common at established companies that pay vendors in scheduled runs.
- Net 45 to Net 60: often non-negotiable at large enterprises. Plan cash for the gap, and ask for a deposit or monthly billing so you are not waiting on one large invoice.
- Due on receipt: sounds firm, but at companies with payment runs it usually just means "next payment run".
Late fees only work if they are in the signed agreement, and limits on them vary by state and country, so check before you add one. With a good client, a polite reminder usually does more than a fee.
How to get a consulting invoice paid on time
- Before work starts, ask who receives invoices, whether you need a purchase order or vendor number, and which tax form the client needs (in the US, usually a W-9).
- Send it on the agreed date from your business email, as a PDF, to the billing contact, with your sponsor copied.
- Confirm receipt after three or four working days if nobody has acknowledged it.
- Send a short reminder a few days before the due date.
- Follow up the day after it is overdue, quoting the invoice number and due date. Repeated late payment is information about the client's cash or internal support, so raise it before the next phase of work.
What are the most common consulting invoice mistakes?
- Billing the sponsor, not the company. The invoice should name the legal entity on the contract.
- A missing PO number. At larger companies, an invoice without one is often rejected without anyone telling you.
- "Consulting services" as the only line item. The approver cannot tell what period or milestone it covers.
- Reusing or renumbering invoices. It breaks your records and theirs.
- Using the invoice to fix the contract. An invoice records an agreement; it cannot add terms the client never signed. Scope, fees, expenses and payment timing belong in the statement of work and the consulting agreement.
Frequently asked questions
Is this consulting invoice template free?
Yes. Copy it from this page into Word, Google Docs or your accounting software. There is no sign-up and no email address required.
What is the difference between an invoice and a statement of work?
The statement of work sets what you will deliver, by when and for how much. The invoice asks for payment for one part of that work. Every invoice should point to the SOW or agreement it rests on.
Should I charge sales tax on consulting services?
It depends on where you and the client are. Many US states do not tax most professional services, but some do, and rules outside the US differ. Ask an accountant before your first invoice. This is general information, not tax advice.
When should I send a retainer invoice?
Usually before the month it covers, on the same date each month, so payment arrives as the work starts. Put the billing date and terms in the agreement.
Can I use an invoice template from Word or Google Docs?
Yes, as long as it has the nine parts above. Many consultants move to accounting software once they have several clients, because it numbers invoices, sends reminders and tracks what is overdue.
The bottom line
A consulting invoice gets paid fastest when it answers four questions without a follow-up email: who is asking, for what work, how much, and how to pay. Use the nine-part template above, name the client's legal entity, reference the SOW and purchase order, match the line items to how the client agreed to pay, and put a real due date on it. Then follow a steady routine of sending, confirming and reminding. Check sales tax and late-fee rules for your location with an accountant.
